Q: What is TalyPayroll?
A: TalyPayroll Software is a subscription web based payroll and HR system.
You can use it to calculate, print and store payslips for your employees. It also has functions for keeping HR records for each employee.
Note that, at present the tax tables and Tax Code are for the Republic of South Africa only
Q: How do I download and install Payroll?
A: You don't! Because it is offered as 'Software as a Service', you do not need to download and install it or require any special software to use TalyPayroll, as all work is done online.
Q: Can I use the Payroll service on anything else besides a computer?
A: Yes, the Payroll service can function on select cell phones, tablets and other devices that have internet connectivity and a supported web browser.
Q: Can I import data from other payroll software such as VIP or Pastel Payroll?
A: Currently that is not possible for you to do, however if you can provide us the data then we can do it for you for a fee.
Q: What is the difference between the Premium and Free version?
A: The Premium version features multi-company, more comprehensive reports with IRP5, EMP201 and EMP 501 and being able to register more than 5 employees per company.
The Free version is only capable of doing payslips.
Q: Is the TalyPayroll free version really free?
A: Yes it is, anyone can register on the system using the register button on the website.

Q: Is TalyPayroll a full accounting system?
A: No, TalyPayroll is a payroll orientated system that is capable of exporting to SARS E@syFile.
Q: Can employees see their own payslips?
A: Yes, each employee has their own payroll account when adding an employee. By activating their individual accounts, employees can view their own payslips online as soon as the payslip is issued, resulting in faster response times and saving costs on traditional paper printing.
Q: If I have a free version for one year and then buy the premium version for the next year, will I still be able to see the data for the previous free year
A: Yes, all data will be available for up to a year for you to view.
Q: If I have 10 users on the premium version for one year and then fewer users the next year, will I still be able to see the data for all 10 users in the previous year?
A: Yes, We will keep your data for up to 5 years so that you will be able to view information on all past users.
Q: Is the software SARS E@syFile compatible and compliant?
A: Yes, TalyPayroll adheres strictly to SARS rules and regulations. It also has built in functionality to directly print reports with all relevant company and employee details.
Q: How secure is the software?
A: From login to logout, all connections are fully encrypted and secured against third party eavesdropping and interference. All data on the server is kept with offsite backups, ensuring that your data is safe and protected.
Q: If I switch from the premium to free version, can I still see the premium version data?
A: Yes you can, however you will only be able to edit the data of the employees who have been transferred to the free version, the data of the employees formerly on the premium will only be viewable.
Q: Can I purchase any number of employees?
A: No, currently the number of employees that must be purchased are in increments of five. Hence if you need to register 7 employees, you will need to purchase a minimum total of 10 employees.
Q: If I have weekly employees, do I pay per payslips or per month for the premium version?
A: The billing for the Premium version is R30 excluding VAT for 5 employees per month. This means that regardless of the number of payslips issued for a month or the number of hours or days the employee has been in your Employment, the cost is R6 excluding VAT per employee for every month.
Q: Can TalyPayroll add a specific feature or function for me?
A: Yes, we can add custom features to the Payroll system. New features are continuously being implemented to the Payroll system for everyone to use, however should there be a specific function or feature you require, we can add it as a specific module just for you for a fee.
Q: What is TalyPayroll's privacy policy regarding employee data?
A: All data is strictly only made available to its creators, and upon presentation of a valid warrant, by or for any law enforcement agency.
Q: How to register?
A: Click on the link that says [Join now! Or Register] that is for the free version.
For the premium version click [Buy premium version now!] and fill the order form fully with all your details, make the payment and fax through your proof of payment and order form to us.
Q: When registration is done?
A: You must login using the login details that you registered with when registering.
Make sure the company name is correct as on paper.
Declarant must be filled in properly.
Contact details must be filled in.
Q: Currently when processing a payslip the pay date defaults to the first day of the next month, how can we change the pay dates to the 25th of the same month?
A: There are 3 dates that you can adjust for each pay period, and can be set at the top of the create payslips page. The third date is the pay date, which you can set yourself.There is no setting for making a default value for this, so you would need to set this for each month in the year.Note that the start date of the period will default to the day after the close date of the previous pay period.
Q: Can you tell me current pricing?
A: Yes, pricing is R6 per employee per month, payable for 1 financial year and sold in packs of 5. This excludes VAT.
What this means is for every group 5 employees you must pay R360 per annum + VAT (50.40) = R410.40 per annum (SARS financial year which ends February 2012).
Q: How is available leave calculated?
A: Annual and sick leave is added up as the employee works. You can also adjust the leave available by using the Leave Adjustment option under the employees menu. By default monthly employees accrue leave at 1.25 days per month, and weekly/fornightly employees at 1 day per 22 calendar days employed.

Working hours per week.
1. The standard work hours is already set to 8hours a day and 40hours a week.
2. You do not necessarily need to change that.
3. Just save and proceed.
Adding employees
1. Click employees tab.
2. Select add employees.
3. Remember the free version only gives you 5employees.
4. When done, click the employee name to view and edit the employee details.
5. Add the salary information by clicking the salary tab and add all necessary.
6. Click Submit to save the information
Payslips
1. Click on the payslips tab and click the wording payslips.
2. When the screen opens, select the month you are doing payslips for.
3. You can either select [add all] or [add] depending on the number of employees you have.
4. All the names will be added according to your selection. Click on the name to make sure all the salary information is correct.
5. Then click submit to end paying that employee.
6. Do the same for all employees.
Print payslips
1. Click on reports.
2. Select print payslips.
3. Click [print all payslips].
4. One can either print payslips to [PDF] or as a hard copy to the printer.
